Technical Virtual Assistant – Shopify, CRM, & AI Automation Setup

I am looking for a highly skilled Technical Virtual Assistant to help build the foundational infrastructure for my high-ticket consulting business. We serve clients in the medical and construction industries, so the setup must be professional, secure, and highly automated.

Your goal is to connect my Shopify store to a CRM and AI-powered PDF tools to create a seamless “vendor onboarding” and “contract signing” experience.

Key Responsibilities:

• CRM Integration: Set up HubSpot CRM and connect it to my Shopify store so all customer data is captured and organized.

• PDF Automation: Configure pdfFiller or Adobe Acrobat to automate the filling of vendor applications and contracts.

• Workflow Automation: Use Zapier to ensure that when a client “purchases” a service on Shopify, they automatically receive the correct pre-filled PDF or intake form.

• Professional Branding: Fine-tune my Shopify theme to look like a premium consultancy (update navigation, embed forms, and professional layout).

• Documentation: Create short Loom videos (SOPs) explaining the setup so I can hand off daily maintenance to a junior VA later.

Requirements:

• Proven experience with Shopify (Service-based setup, not just dropshipping).

• Expertise in HubSpot or similar CRMs.

• Experience with Zapier or Make.com for cross-platform automation.

• Familiarity with AI PDF tools like pdfFiller or Instafill.

• Excellent written English for professional client-facing automation emails.
